Administrative Assistant Orange United Methodist Church Purpose: The Administrative Assistant is responsible to provide administrative support to the Senior pastor, church staff, and lay leadership (team and committee leaders) of the congregation. Accountability: The Administrative Assistant reports to the Lead Pastor and/or Associate Pastor. STATUS: Part-time, Hourly. HOURS: 16 Hours per week. The Administrative Assistant is expected to be in the office Monday- Thursday from 9am-1pm. Additional hours may be required. Specific Responsibilities and Duties: 1. Knowledge, Skills, and Abilities • Maintain a high level of concentration, accuracy, and attention to detail. • Establish and maintain effective working relationships with the staff as well as the congregation. • Maintain appropriate database software and other filing systems to enable accurate and immediate retrieval when needed. • Provide administrative support to the church administrative committees and/or any other groups established to carry out the mission of Orange United Methodist Church. • Based on discussions with the pastor and other staff members, draft correspondence, create agendas, and coordinate arrangements for meeting, worship, etc. 2. Regular Duties • Receive and assist weekday visitors to the church. • Make and receive telephone calls. • Print bulletins for regular and special services. • Prepare and keep master calendar updated and available. • Maintain a complete up-to-date set of files • Communicate with Trustees regarding maintenance of building, grounds and sometimes gifts of equipment and day-to-day maintenance and repairs. • Communicate with custodial staff regarding day-to-day maintenance and repairs. • Maintain appropriate inventory levels on all supplies necessary to conduct the routine business of the church. Computer Skills: Software programs to be used will include: Microsoft Office Suite (including Excel, Publisher, and Word), Adobe Acrobat, ACS (Automated Church Systems), and ACS Realm database. Conditions: 1. Desirable personality traits are as follows: dependable, discreet, friendly, professional, patient, and organized. 2. Provide and present a positive image to those who contact the church and engage the church office by phone or in person. 3. Have a passion for greeting church members and the public. 4. By its very nature, certain information contained in this office is personal and confidential, and must not be discussed with others. 5. The hourly wage will be as agreed upon. 6. Maintain a neat and orderly office environment. 7. The OrangeUMC Handbook will define all other conditions for employment.
