Job Title: Church Business Administrator

Summary:
The Church Business Administrator is responsible for the general oversight and accomplishment of all tasks related to the organizational and financial administration of the church.  The mission of the Church Business Administrator is to provide a solid organizational and financial foundation through the practice of sound principles so that the church can better accomplish its overall mission.  The position allows the pastor to focus on pastoral ministry, and not burden him/her with the daily operations of the church.

•    Excellent written and verbal communication skills
•    Ability to relate to all types of individuals, such as volunteers, church staff and clergy
•    Minimum a Bachelor’s degree in business administration (or related degree) or human resources
•    Experience and understanding of QuickBooks financial statements

Responsibilities:

General Administration
•    Oversee the day-to-day operational affairs of the church
•    Oversee the fiscal function of the church, ensuring that appropriate and accurate accounting and membership records are maintained
•    Prepare agenda and setup for Pastor’s meetings
•    Provide support and assistance to staff and church committees
•    Work with church leadership to develop and implement personnel policies and procedures.
•    Supervise both internal and external communication and advertising through varied media.
•    Provide assistance when needed for audits and reviews
•    Manage all church advertisement

Financial
•    Maintain financial records using QuickBooks
•    Monitor contribution and expense levels in accordance with financial policies and procedures, ensuring proper collection of receivables
•    Plans and manages the church budget in conjunction with appropriate church leadership and the Senior Pastor
•    Monitor and approve all purchase requests by serving as a Purchasing Agent
o    Responsible for entering into contracts and purchasing agreements.  Will issue purchase orders to ensure that all purchases of goods and services are secured within the policies of the church, that invoices and receipts meet purchasing policy, and that all disbursements are properly approved by the Pastor
o    Ensure that payables are processed in a timely manner.
•    Prepare monthly financial statements
•    Perform analyses of church financial operations
•    Perform monthly bank and account reconciliations
•    Respond to questions from staff and congregation about church finances
•    Prepare weekly Board Meeting, Official Board; Church, Quarterly, and Annual Conference financial reports
•    Prepare weekly QuickBooks report for Pastor
•    Write checks approved by Pastor

Facilities Management
•    Oversee the maintenance of property, including, but not limited to general care and upkeep, landscaping, custodial care, and projects
•    Attend to daily issues regarding maintenance and repair of building including equipment and warranty claims
•    Maintain all systems within church such as fire and security
•    Negotiate contracts for repairs, construction, and equipment purchases in collaboration with Pastor and Trustees
•    Maintain documentation of insurance coverage

Personnel
•    Manage and supervise church personnel and makes recommendations for recruitment and retention of church personnel to Senior Pastor and church leadership
•    Assist with the development of personnel policies for staff, and subsequently, maintain and interpret such policies
•    Maintain confidential personnel information, such as contracts and performance reviews
•    Oversee the administration of time sheets, payroll, and other forms of payment in a timely manner

Hours and Compensation
    Monday – Friday, 40 hours a week (flexible hours)
    The Church Business Administrator is considered a full time employee
    A contract between the prospective employee and the church stipulating agreed upon terms and conditions, including but not limited to the responsibilities of the position, salary, benefits, vacation, emergency and sick leave shall be executed and in place prior to commencement of employment.
